Account deletion request reply templates

A deletion request is a legal and trust matter at once. Verify that the request really comes from the account owner, then confirm in writing what you deleted, what you kept and why.

Replace the text in [brackets] before sending.

Subject: Confirming your account deletion request

Hi [Customer name],

We've received a request to delete the [Product] account linked to [email address] and the data associated with it.

Because deletion can't be undone, we need to confirm the request comes from you. Please [verification step: click the confirmation link below while signed in / reply from the email address on the account / confirm the last four digits of the card on file].

If you didn't ask for this, you can ignore this email and nothing will change. You might also want to change your password, in case someone else has access to your inbox.

Confirming the deletion

Email

Subject: Your [Product] account has been deleted

Hi [Customer name],

As you requested on [date], we've deleted your [Product] account and the personal data connected to it, including [what was deleted: profile, files, messages, usage history].

A few things we're required to keep: [what is retained, e.g. invoices for tax purposes], for [retention period stated in your policy]. This isn't used for anything else. Backups containing your data are overwritten within [backup retention period].

This is the last email you'll get from us about this account. If you ever come back, you'd start with a new, empty account.

I can help with that. To protect your account, we confirm deletion requests by email. I've just sent a confirmation link to the address on your account. Once you click it, we'll delete the account and send you a written confirmation.

Tips

  • Verify identity through a channel the real account owner controls, such as a confirmation link to their registered email.
  • List what you deleted and what you retained, with the reason for each retained item.
  • Use your own legal deadlines and retention periods; check them with whoever owns privacy at your company.
  • Warn about anything irreversible, such as shared workspaces or team data, before you delete.

Avoid

  • Deleting an account based on an email from an unverified address.
  • Retention offers or discounts in reply to a privacy request.
  • Vague wording like "most of your data has been removed".
